Domain-based email is the term that describes an email address ending with a website domain name. You might call it website email or website name email. Here’s an example: Dr. Allen’s website domain is www.pellasmiles.com. His domain-based email account might be email@example.com. His office may also use info@, insurance@, or appointments@. The words or letters before the @ can be any combination. Some offices use first names of team members, and each team member has an email address. Before you go crazy choosing 10s or 100s of email addresses, consider that each one must be checked daily, or ideally, multiple times per day. Email addresses with unchecked in boxes can lead to potential patients who’ve lost their patience!
Professional Email Address
Anyone who regularly uses the Internet knows that they can acquire free email accounts through Gmail, Yahoo, SBC Global, MSN, Hotmail, and many other companies. Not everyone can have an email with your domain, though. In fact, only a select few have access to your domain-based email. The truth is, regardless of how silly this may seem, a domain-based email appears more professional, polished, reputable, and reliable than a third-party-based email account.
Do you know what email address your hygienist or office manager uses? In asking for Facebook logins, I’ve seen some real doozies! Any email address with baby, sweetie, cutie, hunter, guns, sexy, (the list goes on and on) is severely unprofessional, and so should be used only for personal correspondence. Your patients will not trust an email coming from a new contact, firstname.lastname@example.org, for instance. However, an email from email@example.com would be welcomed, in most cases.
Accessing Domain-Based Email
You can access a domain-based email via the portal web address provided by your web hosting company. However, to make life so much easier, you can also access domain-based email via Outlook, Mac Mail, and even Gmail. You just need to enter specific settings, which your web hosting company can provide. Adding your business email to your Outlook, Mac Mail, or Gmail account won’t merge your work and personal messages. These programs can keep the emails separate and allow you to send from either address. You can even set up different signatures for each address. By selecting the appropriate sender address, you can send business emails from your domain-based email account from anywhere, at any time. (Even from the golf course or beach!)
